Find the Information You Need

Systems designed to capture and track information benefit their users by making it easy to capture information and then utilize that information to perform specific tasks (Process Management). Users can only work with a tracking system effectively if they are kept informed.

Big Sky’s Retail Solutions provide two primary methods for retrieving data from the system. Users can access the Search feature from the web or mobile interfaces, and Reports can be created and run as needed or on a scheduled basis.

Search

Big Sky’s solutions provide several methods of search. A Quick Search feature allows users to add a known document number (e.g. Request number, Work Order number, Purchase Order number) into a field on the dashboard to quickly and easily find a document.

In addition, when viewing a listing of documents such as Work Orders, users can type in the first few characters of the first column to perform a View Search. This makes it easy to find a set of document related to the sorted column, such as store number.

Full Text searching provides a complete search system to make it easy for users to find any set of documents within the system. For example, if a user needs to find a set of recent invoices from a contractor, they can select the Contractor name or number, and specify they want all invoices from the last 60 days. Full Text search will then display a list of Invoices matching the search criteria in HTML or Excel format.

Reporting

Big Sky’s Reporting system allows users to create listing reports from any data within the system. Report templates can be created for Work Requests, Purchase Requests, Projects, Work Orders, etc., and can tailored to include schedule information and/or cost information.

The Report Template specifies:

  • Fields to be included in each column
  • Sorting options for up to three columns
  • Filtering options to determine which documents to be included in the report
  • Linked data from other documents (e.g. Purchase Order ship date in a Purchase Request report).
  • Date range for report, if any
  • Cost range for report, if any
  • Schedule
  • Options for sending the finished report via email

Reports can be executed on demand, or on a scheduled basis, and a single report template can be setup to create a separate report file for each store, district, region, contractor, etc. The resulting reports can then be sent automatically to the associated manager or contractor.

Specialized filters are available for Accrual and Forecasting reports and report output can be in Microsoft Excel format or in Acrobat PDF format, or both.
